When you return to our office for your next deposition, you can expect the same friendly and outstanding service as usual, and a continued emphasis on safety. You will also see that we have implemented new processes to ensure your visit with us is as safe as possible.
On May 4, 2020, Circle City Reporting will be using its office for depositions with some restrictions:
Face mask requirements
To protect our team, our families and our clients, effective May 4, all people entering Circle City Reporting must wear a mask or face covering that covers the mouth and nose at all times while at Circle City Reporting. This requirement does not apply to individuals who are unable to wear a mask or face covering due to a medical condition.
The use of a mask or face covering should not be seen as a substitute for social distancing. Please continue to observe rules regarding appropriate distancing while at Circle City Reporting.
Limiting the number of conference rooms
We will be operating only two conference rooms at a time and will restrict the amount of people at the deposition to six people in order to minimize the amount of contact we have with others.
No people in waiting room
We request that only people scheduled for the deposition be in our office. If there are multiple people scheduled, or there are family members and friends who have come with the witness, we ask that they wait in their car until they are contacted to come into the office.
We have sanitizer dispensers positioned around the office. We will be doing frequent “disinfectant wipe downs” of surfaces between every deposition. On a daily basis, our cleaning service will be performing a rigorous cleaning with extra emphasis on all touch points.
After nearly six weeks of Safer at Home measures, our Governor feels the threat of COVID has been sufficiently minimized. While we are excited, as I know you all are, to resume some sense of normalcy, we remain aware that there will be a “new normal” as we restart. We are not sure how long the “new normal” will last, but until then, thank you for your understanding and cooperation.
As a reminder, we have performed many Zoom and WebEx depositions during the past few weeks, and they will continue to be at no additional charge during this time. We will be glad to accommodate your depositions in any manner you wish.
To facilitate depositions during this COVID-19 crisis, we are leveraging technology by using a remote court reporter (i.e., our court reporters you know and love). There’s no need to delay depositions – we can hook up each party from their own location using traditional IP-to-IP videoconferencing, Zoom, Webex, or your choice of video conference provider. We have had excellent results from our Zoom and WebEx meetings, and the installation and running of the software is almost foolproof. But if you have trouble, we will help you!
If you and your client or deponent have a fairly good Internet bandwidth and a device with a video camera (e.g., laptop, desktop, iPad, iPhone or Android device) there should be no hitches, lags or interruptions. Each party can stay in their own location and hear and see each other as well as if you were in the room. Documents can be easily exchanged, and even videos can be played over the platform. You can have your witness mark up documents, save them as exhibits, all as if they were in the room with an ink pen. Exhibits exchanged can also be exchanged via email. Then, everything is done just like a normal in-person deposition. You get the same great service that you receive as if you were face-to-face.
Where there are challenges, there are always solutions. Work must be accomplished in this turbulent time, and deadlines must be met. We’re here to help you do that.
